Personal Data – Employees/Applicants
Proceed Solutions Ltd uses the information collected from you on your initial application and throughout your employment for the following purposes :
Processing of application to include vetting; references; verification of ID, National Insurance/HMRC verification, DVLA verification when applicable, personnel file (including next of kin, emergency contact, any known disability), training & qualifications, bank details for necessary financial transactions, holidays, sickness, performance assessments, disciplinary actions, any accidents connected with work, disclosure of limited information (name and contact details) to clients were necessary. Information relating to payroll purposes only may be passed to a Payroll Services Provider. In this case we will ensure that the provider is fully GDPR compliant. All emails containing payroll information will be password protected or encrypted.
Personal Data – Suppliers/Customers
Proceed Solutions Ltd uses the information collected from you to provide quotations, make telephone contact and to email you in relation to the supply of goods or services . It will also be used for contact information and to create invoices.
Proceed Solutions Ltd will only collect and process the information needed so that it can provide you with the services agreed.
Personal Data – Marketing/Customer Enquiries
Proceed Solutions Ltd uses the information collected from you to provide quotations, make telephone contact and to email you details of our services . You can opt out of receiving such contact or information at any time.
Through agreeing to this privacy notice you are consenting to Proceed Solutions Ltd processing your personal data for the purposes outlined above.
Proceed Solutions Ltd does not pass on information gained from your without your consent. However, we may disclose your Personal Information to meet legal obligations or valid governmental request.
Applications for employment (not taken up)- 6 months
Personnel Files – 1 year from date of leaving
Payroll related records – 3 Years from date of leaving
Your rights as a data subject
Right of access – you have the right to request a copy of the information that we hold about you.
Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
You have the right to have the data we hold about you transferred to another organisation.
You have the right to know the source of personal data if it wasn’t collected directly from you.
To access what personal data is held, we will accept the following forms of ID: driving license, passport, birth certificate and a utility bill not older than three months. A minimum of one piece of photographic ID listed above and a supporting document is required. You will receive the information within 40 days.
